As stated in UK’s Business Procedures Manual all departments are required monthly to verify financial transactions that ensures the accuracy and integrity of financial reporting records and protects University assets, serving as a key element of the University’s system of internal controls (E-17-6). The vendor detail will contain transactions that are not salary or benefits, such as, purchasing, travel, visiting speakers, JVs, etc...

The Internal Order Ledger will breakdown accounts with allocations which we track with a Statistical Internal Order (SIO) number and Funds Reservation (FR) numbers. This report does not contain every account within your department, just the accounts with allocations which are designated by the department. This report will be updated monthly.

The Budget vs. Actual Expenses report will track monthly expenses against the budget amount. The report is broken down by each account in column A (state, income, VPR, agency, endowment and gift, etc.). There are a total of 15 tabs in this report: Tabs 1-3 are account summary, summary by month, and data set and Tabs 4-15 are the fiscal year months (July-June).

The Master Budget is high level overview of the departments funding and sources. It is broken down by recurring budget items and non-recurring budget items.

Your Downloads folder is located on your computer's C drive and not automatically backed up to our A&S file servers.  This is not typically an issue since most people's Downloads folders consist of various free software installers and documents or pdfs downloaded from web pages.  We know sometimes you do make changes to these documents and save them back to you Downloads folder, so this tutorial walks you through moving select files out of Downloads and into your Documents folder.

Poster Printer Information

NOTE: A typical poster printing job takes about 75 minutes from start to finish. When starting a print job watch the printer, most problems such as cleaning, paper jam, and print error; occur at the beginning.

If Hive sets up your new Windows laptop, we will typically install Office 365 for you and leave it for your to activate.  
UK has changed the way Adobe products are licensed.  Here are the steps to take if you launch a program and receive a "sign-in required" message.

Adobe Acrobat Professional and Reader have their own built-in printing protocols that bypass the Mac system settings. This creates a problem with Ricoh copiers that require a code to print--the built-in Adobe protocols bypass the Mac system settings, and the user code is not passed to the printer. This is why your access is restricted when printing pdfs, but your Word files print just fine.

This is how to print from Adobe Acrobat to a Ricoh copier. You will need to follow these steps each time you print a pdf.

In the past, we set up Outlook archives so that email could be stored on the A&S file server and free up the limited space on the Exchange server. This was an imperfect system because the archive file type (.pst) doesn't perform very well on server storage, but if we moved the file to your local desktop's C drive, it might be lost in a hard drive crash or Windows reinstall.

UKAT prefers that spam emails are forwarded to them as an attachment. This gives them the most information possible when trying to block spam and prevent phishing attacks, but the process is quite a bit more complicated than simply hitting forward.  We can use Outlook quick steps to streamline the process.

It also can prevent you from losing settings if your hard drive fails or if you receive a new computer. This tutorial (steps 1-5) assumes you have a Google account. Hold print is used when you want to send a print job to the printer but not have it print immediately.  This is convenient when you need to print on envelopes or letterhead and need to change the paper in the tray before you proceed with the print job.  Locked print protects the held print job with a user code so that the print job is secure.
